Southwestern University has an immediate opening for an Administrative Assistant to support the University Relations annual giving programs. This is a full-time, twelve-month position with full benefits. The primary responsibilities include: coordinate the gift acknowledgment process; make appointments and travel arrangements for the Director of Gift Programs and Assistant Director or Gift Programs; coordinate, prepare and track frequent mailings; assist in coordinating, typing and assembling materials for all Annual Giving activities; oversee and maintain Gift Program files; maintain program budgets; prepare check request and expense reports; complete purchase orders and requisitions; answer phones, copy, order supplies and file; support and participate in regular development office staff meetings and University special events; assist with student philanthropy efforts and perform other duties as assigned.
The position requires a high school diploma or equivalent, 1-2 years (3 preferred) secretarial or administrative/clerical experience (preferably in a university, public relations or event planning environment), ability to handle multiple and ever-changing deadlines, strong organizational skills, excellent telephone etiquette, and a commitment to customer service. The ideal candidate also will be able to demonstrate strong composition, grammatical and editing skills. Extensive knowledge and use of various computer applications, including word processing and spreadsheet systems (i.e., Word, Excel); is a must. Other important skills and characteristics of candidates include: the ability to maintain strict confidentiality, exercise good judgment, be attentive to detail, work well with the public (primarily students, alumni, and parents), and be responsible, dependable and flexible.
