Southwestern University has an opening for a Senior Secretary to the Associate Vice President (AVP) for Academic Administration. This is a full-time, twelve-month position with full benefits.
Primary responsibilities involve extensive administrative/clerical support to the AVP and receptionist support to the Office of the Provost. These duties include, but are not limited to, coordinating AVP’s calendar and meeting arrangements; assisting in the planning, organization, and implementation of projects/events; responding to faculty, staff, and student inquiries/requests; answering multiple phone lines and handling calls as appropriate; and greeting and referring office visitors. Additionally, the Senior Secretary provides support to the Provost and Dean of the Faculty and takes direction from the Program Assistant as requested.
This position requires a self-motivated individual with the ability to manage multiple projects and adjust to fluctuating priorities in a fast-paced office environment. The successful candidate will be able to maintain strict confidentiality; exercise good judgment; possess meticulous attention to detail; be able to work well with faculty, students, staff, and the public; and demonstrate acceptance of cultural differences and diversity within the campus community. Additionally, the successful candidate will have strong composition, grammatical, and editing skills; a thorough knowledge of computer applications, including Microsoft Word and Excel; excellent telephone etiquette; and superb time management and organizational skills. A high school diploma or equivalent and a minimum of three years secretarial experience are required. Experience in a college/university environment is preferred.
