Southwestern University has an immediate opening for a Coordinator for its Pirate Card Services.  This full-time, 12-month, entry-level professional position reports to the Associate Vice President for Finance.  Under the direction of the AVP for Finance, this position is responsible for administering the Pirate card services system throughout the campus community. 

Responsibilities:  With the review and approval by the AVP for Finance:  Evaluate and administer Pirate card policies and procedures with review/approval by the Associate Vice President for Finance; serve as primary liaison with Pirate card vendor(s) regarding contract negotiation, system installation, training, maintenance, data/transaction integrity, and system enhancement with review/approval by the Associate Vice President for Finance; communicate and promote Pirate card use to appropriate campus constituencies, including information and training sessions and other related events; maintain accounting procedures for all card accounts, department budgets, and other related accounting activity related to the Pirate card system and provide regular updates to the Associate Vice President for Finance; oversee all financial transactions relating to the ID card and related systems, including receiving and securing funds, recording transactions, reconciliation of accounts and processing vendor payments; oversee daily operations of the Pirate card services department, including the organization of periods of heavy ID production (i.e. incoming students each Fall), training and delegating work to student workers, producing and distributing ID cards, responding to inquiries, processing purchasing and accounting paperwork, etc.; maintain/troubleshoot Pirate card system hardware and software, including the door access system; develop enhanced system applications as needed; work with Student Life personnel regarding student Pirate card utilization; work with Facilities personnel, architects, and contractors during construction and remodeling of buildings; work with Information Technology Services personnel regarding technology-related aspects of Pirate card system, including assistance with troubleshooting; maintain Pirate Card website and perform other duties as assigned.

Qualifications:  Bachelor’s degree in business, technology, information systems, or related field; work experience (and/or college-level courses) may be substituted for degree; however, a minimum of 10 years related experience is required; five years experience in same or similar position with extensive customer service skills and outstanding organizational abilities; knowledge of standard accounting principles and budget management; demonstrated experience working with local area networks, Microsoft-compatible report writing software, Microsoft Excel, Word, Access, and mainframe data base systems; knowledge of data integration basics; ability to work weekends and after hours in order to complete tasks; ability to lift objects weighing up to 50 pounds, to climb ladders, stoop, bend, and reach; ability to make independent judgements; demonstrated leadership skills, including a strong work ethic; willingness to adhere to the University’s core values; possess excellent interaction and communication skills (verbal and written); have knowledge, understanding, and acceptance of cultural differences and the diversity within the campus and community; demonstrated professional manner with all internal and external University constituencies; ability to be flexible, adjust to fluctuating priorities, and produce reliable work product; proven ability to perform well in stressful situations and ability and willingness to travel utilizing standard, commercial, and/or personal modes of transportation. Preferred qualifications: One or more years experience in a lead or supervisory position; prior experience in an administrative office within a University setting, including delegation of work to student workers; demonstrated success coordinating projects; prior experience with Datatel mainframe system; prior experience using computer technology for ID card making and production; prior experience using door access software and experience developing web-sites using HTML or similar software.
