Senior Executive Secretary

Southwestern University has an immediate opening for a Senior Executive Secretary.  This is a full-time, twelve-month position with full benefits.  This secretarial position provides senior executive administrative support as the personal secretary to the Executive Director of NITLE (National Institute for Technology in Liberal Education) and Vice President for Innovation.

The primary duties of the position include: Maintaining the calendar of the Executive Director/Vice President; scheduling appointments and organizing meetings; preparing and organizing travel files and any details related to travel for the Executive Director/Vice President; preparing correspondence and drafts for the Executive Director/Vice President; coordinating logistics, as needed, for NITLE services/events; serving as point-of-contact for requests for information and routine inquiries about NITLE via telephone, e-mail, internet/web, and walk-in traffic and maintaining daily tickler file for the Executive Director/Vice President.

Ideal candidate will possess the following position requirements:  high school diploma or equivalent; ten plus years office/clerical experience (majority within higher education); outstanding spelling, grammar, punctuation, proofreading, and draft-writing skills; ability to work both independently and as a member of a team; ability to establish and maintain an accurate filing system; ability to read, understand, and follow written and verbal instructions; demonstrated prior experience using software such as Microsoft Word, Excel, Power Point, email software, and internet search engines; excellent oral, written, and interpersonal communication skills; excellent organizational skills and the ability to handle multiple tasks with a keen attention to detail; flexibility regarding changing priorities; excellent conflict resolution skills and an astute problem solving ability; ability to utilize tact, diplomacy, sensitivity, and confidentiality; ability to work in a fast-paced, high-pressure environment; ability to attend work consistently and maintain a regular work schedule.

Preferred requirements: secretarial/trade school, two years of college, Associate’s degree, or equivalent work experience and five plus years experience in support of executive management.
